- A leading city law firm is searching for a weekend shift supervisor to manage it's team of Document Producers and oversee producition of high quality documents in accordance with the needs of the department's clients.
You will be responsible for managing key relationships with business services groups throughout the firm.
Role and responsibilities:
· To oversee and take ownership for Weekend activity and staff working at the weekends on either fixed
or ad hoc shifts.
· To establish a relationship with customers based on trust and credibility
· To organise appropriate cover as necessary for absences including vacancies, holiday, sickness,
training etc. at all times liaising with other Team Supervisors and making sure any relevant people
are kept informed. To ensure that new staff are properly inducted into the department,
appropriate training has been given and reviews are regularly carried out to ensure progress is
being made in the way that the department would expect
· To deputise for Document Operations Manager as and when necessary
· To handle first and second line complaints and escalate appropriately
· To hold regular team meetings and ensure correct communication lines are followed
· To deal with staff related issues, such as punctuality, dress code, work ethic, overtime, etc. T
· To train staff or work with DP or IT trainers and relevant managers to ensure that staff are correctly
trained in order to achieve their potential and do their jobs to the best of their abilities
· To contribute, work towards and implement departmental policies and ensure firm-wide policies
are complied with as appropriate
· To act as a representative of the department as and when necessary
· To have an overview on team skills in producing complex documents, mainly using MS Word, Excel
and PowerPoint, also to have the necessary overview on team skills in checking documents or
advising others in the checking or proofreading of documents
· To ensure that the team are able to "trouble-shoot" and health check documents as necessary
. To carry out regular quality checks on work produced on the shift, both in-house and outsourced.
Key requirements
· Legal or similar professional services background preferred
· Experience of administering effective workflow management systems
· Experience of word processing, complex documents in client and deadline driven environment; or
· Experience of proofreading legal documents, able to direct and advise
